This policy outlines the Company’s (DoxBay’s) rights and obligations and your (the User’s) rights and obligations concerning the privacy of your data and personal information on DoxBay. DoxBay is an online professional networking service for medical professionals and healthcare organisations. DoxBay provides a platform for exchange of latest news, information and research in Medicine, for finding and connecting with other professionals and organisations and for discovering relevant courses and career opportunities worldwide in one place. DoxBay also provides a platform for general visitors including patients and their kin to discover their nearest doctors and healthcare organisations and information about them including qualification, services available, contact information etc.


Your privacy, trust and patronage are very important to us. We protect your personal information using industry-standard safeguards and shall never disclose your personal information to any third party unless:



  1. you have expressly consented to the same;
  2. it is necessary to carry out your instructions;
  3. it is reasonably necessary in order to provide our features and functionality to you;
  4. it is required by law, summons or other legal process; or
  5. it is necessary to enforce our User Agreement or protect the rights, property, or safety of DoxBay, its Members and Visitors, and the public.



2. Collection of information



2.1 Control of Data


Our Privacy Policy applies to any Member or non-member (a visitor to the website). Your personal information provided to or gathered by DoxBay is controlled by 9, G Floor, Krishna Niwas, R A Kidwai Marg, Wadala West, Mumbai, India- 400 031. If you have any concern about providing information to us or having such information displayed on the DoxBay services or otherwise used in any manner permitted in this Privacy Policy and the End User Licence Agreement (together also referred to as DoxBay’s Terms of Service), you may choose to not become a Member of DoxBay, visit our websites, apps or otherwise use our Services. If you have already registered, you can permanently close your account and delete your data by going to your “Account Settings”. We collect your personal information in the following ways


2.2 Registration


When you create an account with us, you provide us with basic information (your Name and Email address in the case of Professionals; Organisation name, Type and Location and Account manager’s Name, Designation and Email address in the case of Organisations) that we use to offer you a personalized, relevant experience on DoxBay.

Post creating an account on DoxBay, you must provide us with further information (your Specialty, Location, Date of Birth and Gender in case of Professionals; Account manager’s Date of Birth and Gender in case of Organisations). We use this information to provide you with more customized services like suggestions regarding people you may know, people you may like to follow, relevant updates and content, relevant ads, valuable career opportunities language–specific features etc. The same information may also appear on your DoxBay profile that is viewable by others. You understand that, by creating an account, DoxBay members and others (non-members and general public) will be able to identify you by your DoxBay profile, and you allow DoxBay to use this information in accordance with this Privacy Policy and our EULA. We may also ask for your credit card/debit card/bank account details if you purchase certain DoxBay services


2.3 Profile Information


After you create an account, you may choose to provide additional information on your profile – personal information like your mobile number, profile picture and professional information like Current role or Headline, Educational qualification, Work or Professional experience, Availability information etc. You can also list awards, publications, memberships and positions held and provide detailed summaries of your professional or educational experience or about your Organisation.

You have the option to choose what part of your profile you want to reveal to which type of users; by going to “Privacy Settings”. Please note that your basic profile (Name, Current Role, Specialty, Subspecialty, Location, Profile Picture, Brief Educational qualifications and “About you”) will always be visible to everyone on DoxBay as well as anyone searching on the Internet including persons who are not doctors or are not registered on We insist on this to improve the accessibility of medical professionals and healthcare organisations to patients and their kin worldwide. The Basic profile has no contact information and Profile picture and Educational Qualifications are not mandatory fields.

You may choose whether you want to display your full profile to your connections, all DoxBay members or everyone on the web. You also have an option to choose to display your contact information (mobile number and email address) to your connections or keep it private by choosing “only me”.

It is recommended to maintain a detailed and updated profile of your Professional experience on DoxBay. It helps you find other like-minded professionals, helps other professionals find you and enables us to serve you relevant content (updates, job openings, courses etc.) and ads on and off DoxBay.


2.4 Your activity


Anything you post (updates and articles), your comments on another user’s post, any content posted by another user that you share, as well as the list of your connections, followers and persons or organisations you are following are visible to all your connections and followers. Similarly, your content may be shared further by your connections and followers to their network and as such content you post may be visible to anyone on DoxBay. Users are advised to exercise caution and discretion when posting, liking, commenting on or sharing any content on DoxBay and to not post any content that may violate patient confidentiality (unless you have the concerned person’s written consent) or any other person’s or entity’s copyright. Please read our Community guidelines for further advice on the content that may and may not be posted


2.5 Visibility of other members’ activity


You shall start seeing other members’ activity on your wall feed once you connect with them or follow them. In case you wish to stop receiving notifications from another member, you can choose to unfollow or mute them or remove connection.


2.6 Synchronisation of Services with DoxBay


DoxBay may make tools available to sync information with DoxBay, and may also develop additional features that allow Members to use their DoxBay account in conjunction with other third-party services. For example, DoxBay’s mobile applications may allow you to sync your device’s calendar, email and/or contacts apps with DoxBay to show you the DoxBay profiles of meeting attendees, email correspondents and/or your contacts.


2.7 Synchronisation of Services with DoxBay


If you grant these products (mobile applications or other DoxBay services that sync external email and calendar services) permission to access your email and calendar accounts, they can access and may store some of your email header and calendar history information in order to match it to DoxBay and other public social media profiles. DoxBay’s products that sync with external email services may also temporarily cache message content for performance reasons, in a way that is unreadable by DoxBay and its service providers.


Any information that you upload or sync with DoxBay is covered by the End User License Agreement and this Privacy Policy and other policies of DoxBay as updated from time to time. You can remove your information at your convenience using the features DoxBay makes available or in accordance with the concerned third party application.



2.7 Customer Service


We collect information when you use (whether as a Member or a Visitor) the DoxBay websites, native platform applications (for example, DoxBay for iPhone or Android or Windows), DoxBay platform technology (such as “Share on DoxBay” plugins for publishers) or other Services. For example, we collect information when you view or click on ads, install a DoxBay mobile application, view content and share articles on DoxBay. If you are logged in on DoxBay websites or any native application, a DoxBay cookie on your device identifies you, your usage information and the log data described in Section 2.12 of this policy, such as your IP address, will be associated with your account. Even if you’re not logged into a Service, we log information about devices used to access our Services, including IP address.


2.8 Using the DoxBay Sites and Applications


If you grant these products (mobile applications or other DoxBay services that sync external email and calendar services) permission to access your email and calendar accounts, they can access and may store some of your email header and calendar history information in order to match it to DoxBay and other public social media profiles. DoxBay’s products that sync with external email services may also temporarily cache message content for performance reasons, in a way that is unreadable by DoxBay and its service providers.


2.9 Using Third-Party Services and Visiting Third-Party Sites


We collect information when you use your DoxBay account to sign in to other sites or services, and when you view web pages that include DoxBay plugins. We receive information when you use your DoxBay account to log in to a third-party website or application. Also, when you visit a third-party site that embeds DoxBay professional plugins (such as “Share on DoxBay” for publishers) we receive information that those pages have loaded in your web browser. If you are logged in as a Member when you visit sites with DoxBay plugins, we use this information to recommend tailored content to you. DoxBay will use this information to personalize the DoxBay-provided functionality on third-party sites, including providing you insights from your DoxBay network and allowing you to share information with your network on DoxBay. DoxBay’s retention of this data is addressed in Section 3.2. We do not use this information for advertising. DoxBay may provide reports containing aggregated impression information to companies hosting DoxBay plugins and similar technologies to help them measure DoxBay-generated traffic to their websites. Please note that native applications including but not limited to DoxBay for Android and iOS are part of the DoxBay Services, not third-party sites or applications.


2.10 Cookies


We use cookies to help personalize your DoxBay experience and show you relevant ads. We use cookies and similar technologies, including mobile application identifiers, to help us recognize you across different Services, improve your DoxBay experience, increase security, measure use and effectiveness of our Services, and serve advertising. You can control cookies through your browser settings and other tools. For more information, including the types of cookies found on DoxBay, please read DoxBay’s Cookie Policy . By visiting DoxBay, you consent to the placement of cookies and beacons in your browser and HTML-based emails in accordance with this Privacy Policy and DoxBay’s Cookie policy .


2.11 Advertising Technologies and Web Beacons


We may target ads to you on and off DoxBay, based on information you included in your profile and your use of DoxBay. When we include this feature, we will give you a number of ways to opt out of ad targeting, including through the Ad Choices icon shown with any DoxBay ads on third-party sites. If you do not want to receive DoxBay ads on third-party sites, you can opt out.

We target ads to Members and Visitors both on and off DoxBay through a variety of ad networks and ad exchanges, using:

  • Advertising technologies like web beacons, pixels, ad tags, cookies, and mobile identifiers as permitted by mobile platforms both on and off DoxBay;
  • Member-provided profile information and categories (for example, “Physicians in Ahmedabad”);
  • Information inferred from a Member’s profile (for example, using job titles to infer age, industry, seniority, and compensation bracket);
  • Your use of DoxBay (for example, your DoxBay search history, the content you read on, who you follow or is following you on etc.) or clicking on a DoxBay ad;
  • Information from advertising partners which we use to help deliver ads more relevant to you.

We do not share personally identifiable information with any third-party advertiser or ad network, although your profile is visible to other Members and through public search depending on your privacy settings.


2.12 Log Files, IP Addresses, and Information about Your Computer and Mobile Devices


We collect information from the devices and networks that you use to access DoxBay. This information helps us improve and secure our Services.


When you visit or leave DoxBay sites or apps (whether as a Member or Visitor) by clicking a hyperlink or when you view a plugin on a third-party site, we may automatically receive the URL of the site from which you came or the one to which you are directed. Also, advertisers may receive the URL of the page that you are on when you click an ad on DoxBay. We also may receive the internet protocol (“IP”) address of your computer or the proxy server that you use to access the web, your computer operating system details, your type of web browser, your mobile device (including your mobile device identifier provided by your mobile device operating system), your mobile operating system (if you are accessing DoxBay using a mobile device), and the name of your ISP or your mobile carrier. We may also receive location data passed to us from third-party services or GPS-enabled devices that you have set up, which we use to show your local information (for example, articles about your area) on our mobile applications. Most mobile devices allow you to prevent real time location data being sent to DoxBay.


In the case of our Android apps, you will be provided notice of the types of data (e.g. location) that will be sent to us. If you choose to use our app after this notice, we process this data to enable registration or preview product features for you (e.g. jobs near you). If you choose not to become a Member, we will delete this information.

We are constantly innovating to improve our Services, which means we may create new ways to collect information on the Services. We will provide notice through our Service, or by other means so that you may review the changes before you continue to use DoxBay.


3. How we use your personal information


The most important use of information we collect is to improve your experience on DoxBay by providing relevant content and suggestions and continuously evolve the product and our services based on usage patterns across user niches.


3.1 Consent to DoxBay Processing Information about You


When you join DoxBay, you acknowledge that information you provide on your profile can be seen by others and will be used by us as described in this Privacy Policy and our User Agreement. The personal information you provide to us may reveal or allow others to identify aspects of your life that are not expressly stated on your profile (for example, your picture or your name may reveal your gender). By providing personal information to us when you create or update your account and profile, you are expressly and voluntarily accepting the terms and conditions of DoxBay’s User Agreement and freely accepting and agreeing to our processing of your personal information in ways set out by this Privacy Policy. Supplying to us any information deemed “sensitive” by applicable law is entirely voluntary on your part.


3.2 DoxBay Communications


We will communicate with you through email, notices posted on the DoxBay websites or apps, messages to your DoxBay inbox, and other means available through the Services, including mobile text messages and push notifications. Examples of these communications include: (1) welcome and engagement communications – verification email, informing you about how to best use DoxBay , new features, updates about other Members you are connected to and their actions, etc.; (2) service communications - service availability, security, and other issues about the functioning of DoxBay; (3) promotional communications - these include both email and messages (messages are only delivered to your DoxBay inbox), and may contain promotional information directly or on behalf of our partners, directors, including job opportunities and information from companies that are hiring. These messages will be sent to you based on your profile information and messaging preferences. You may change your email and contact preferences at any time by signing into your account and going to “Account Settings”. You can opt out of certain communication by following the “Unsubscribe” button or link or “Manage your Email subscriptions” option available in the email messages. Please be aware that you cannot opt out of receiving service messages and certain other communication like welcome email, verification link etc.


3.3 User Communications


When you invite people to join DoxBay, we will provide you with a template for the email invite. Please note that when you send an invitation to connect to another individual (a “connection”), that person may have access to your email address. DoxBay will also remind you of pending invitations. Your DoxBay connections may also have access to your email address depending on your privacy settings.


3.4 Customized Content


We use information that you provide to us to customize your experience and the experiences of others on DoxBay. For example, when you sign in to your account, we may display the names of new members who have recently joined your network or recent updates from your connections and companies you follow. We also use aggregated information from your network and other users to show you content, such as news, posts and presentations relevant to you, your specialty, or your field of practice.


3.5 Sharing Information with Affiliates


We share your information across different DoxBay Services, among companies in the DoxBay family. We may share your personal information with our DoxBay affiliates (meaning entities controlled by, controlling or under common control with DoxBay) outside of the DoxBay entity which is your data controller. By agreeing to this Privacy Policy, you are consenting to sharing of information to said affiliates. DoxBay and its affiliates combine information internally across different Services. We do this by identifying you across different services using cookie or similar technologies.


3.6 Sharing Information with Third Parties


Any information you put on your profile and any content you post on DoxBay may be seen by others. We don’t provide any of your non-public information (like your email address or mobile number) to third parties without your consent, unless required by law, or as described in this section and Section 3.13 and Section 3.14 of this Policy.


DoxBay offers a “public profile” feature that allows Members to publish portions of their DoxBay profile to the general public on Internet. This public profile will be indexed and displayed through public search engines when someone searches for your name. You can choose to show a limited Basic version of your profile (including information like your name, picture, current role, specialty and subspecialty and brief summary) or the full Detailed profile to non DoxBay members in your Privacy settings. Unless you delete them, your profiles on and our native applications may still be visible on the respective services and on the Internet.



We do not rent or sell personal information that you have not posted on DoxBay, except as described in this Privacy Policy. We will not disclose personal information that is not published to your profile or generated through engagement with other DoxBay services, without your consent or to carry out your instructions (for example, to process payment information or for a job application) unless DoxBay has a good faith belief that disclosure is permitted by law or is reasonably necessary to: (1) comply with a legal requirement or process, including, but not limited to, civil and criminal summons, court orders or other compulsory disclosures; (2) enforce this Privacy Policy or our User Agreement; (3) respond to claims of a violation of the rights of third parties; (4) respond to Member service inquiries; or (5) protect the rights, property, or safety of DoxBay, our Members, Visitors, or the public. See Section 3.13 for additional details about DoxBay’s compliance with legal requests for information.



Content distributed through DoxBay’s sharing features and third-party integrations may result in displaying some of your personal information outside of DoxBay. For example, when you post content to a DoxBay Group that is open for public discussion, your content, including your name as the contributor, may be displayed in search engine results. Further, DoxBay allows third parties to look-up profile information (subject to your privacy settings) using your email address or first and last name information through its profile API (see Section 3.7 below).



Third parties (for example, your email provider) may give you the option to upload certain information in your DoxBay contacts onto their own service. If you choose to share your DoxBay contacts, you will be granting your third party provider the right to store, access, disclose and use your DoxBay contacts in the ways described in such third party's terms and privacy policy.



3.7 Third Parties Using DoxBay Platform Services


We work with developers to build Platform Applications using DoxBay’s developer tools. Using these Platform Applications is voluntary. If you have given a Platform Application access to your DoxBay account, you can revoke that permission anytime. We collaborate with and allow third parties to use DoxBay’s developer platform to offer services and functionality in conjunction with DoxBay. These third-party developers have either negotiated an agreement to use DoxBay platform technology or have agreed to our self-service API and Plugin terms in order to build applications (“Platform Applications”). Both the negotiated agreements and our API and Plugin terms contain restrictions on how third parties may access, store, and use the personal information you provide to DoxBay. If you choose to use a Platform Application, you will be asked to confirm acceptance of the privacy policy and user agreement of the third-party developer. To revoke permission granted to a Platform Application, please visit your settings. Note, however, that even if you revoke the permission granted to a Platform Application, your connections may still be using the Platform Application, so the Platform Application may still have access to certain information about you, just as your connections do.


3.8 Polls and Surveys


We conduct our own surveys and polls and also help third parties do this type of research. Your participation in surveys or polls is voluntary. Polls and Surveys may be conducted by DoxBay, Members, or third parties. Some third parties may target advertisements to you on the results page based on your answers in the poll. DoxBay or third parties may follow up with you via mail/messages regarding your participation unless you have opted out of receiving mail/messages. We may use third parties to deliver incentives to you to participate in surveys or polls. If the delivery of incentives requires your contact information, you may be asked to provide personal information to the third party fulfilling the incentive offer, which will be used only for the purpose of delivering incentives and verifying your contact information. It is up to you whether you provide this information, or whether you desire to take advantage of an incentive. Your consent to use any personally identifiable information for the purposes set forth in the poll or survey will be explicitly requested by the party conducting it.


3.9 Search


DoxBay helps you search for other professionals, organisations, professional content, jobs, courses, fellowships and other opportunities. For example, you can find Members with particular expertise or experience, or Members that you may know from your industry or profession. You can also find employment opportunities and information about organisations. We use personal information from DoxBay, including Member profiles, Groups content, and Provider Pages, to inform you and refine our search service.


3.10 Testimonials and Advertisements Placed through DoxBay Ads


If you provide any testimonials about our goods or services or place advertisements through the DoxBay Ads, we may post those testimonials and examples of advertisements you place in connection with our promotion of these services to third parties. Testimonials and advertisements may include your name and other personal information that you have provided.


3.11 Talent Recruiting, Marketing and Sales Solutions


We may offer customized people-search functionality along with organizational and communications tools as part of our talent recruiting, marketing and sales solutions. These services may allow subscribers – generally, healthcare organizations and hospitals – to export limited information from Members’ public profiles, such as name, educational qualification and work experience details, current title, and location, in order to effectively manage candidate sourcing. We do not provide email or other contact information to these subscribers. However, if you have applied for any job or course or fellowship, your detailed profile and contact information will be accessible to the organisation. A recruiter or other such subscriber may also manage and store information it has independently obtained about you outside of our Services, such as a resume, in connection with DoxBay’s platform. Any personal information obtained independently of DoxBay services will not be added by DoxBay to your profile and is not under DoxBay’s control but is subject to the policies of the DoxBay recruiting, marketing or sales solution subscriber. We store such information on behalf of such subscriber who can remove it at any time. We do not further process such information.


3.12 Pages for Healthcare providers and professionals


Hospitals, Associations, Healthcare Organizations, Journals and other entities can create accounts on DoxBay. If you follow any of these accounts, you’ll be listed as one of the concerned entity’s followers, and the page’s administrators will be able to access your detailed profile or basic profile similarly as any other DoxBay member can. Any person or entity you follow on DoxBay or who follows you on DoxBay but is not a connection is treated as a normal DoxBay member and the same rules which apply to “Anyone on DoxBay” apply to such user or entity as far as visibility of profile, ability to message and visibility of contact information is concerned.


DoxBay may allow Healthcare providers as well as thought leaders and influencers to create pages dedicated to their brand, business, and mission. These pages are public, and any communications or information shared through them will be accessible by the entity that created them. If you follow a person or organization, you will be listed among its followers, which can be viewed by others. DoxBay uses aggregate information about followers and viewers to provide data about its performance (for example, visits and updates).



3.13 Compliance with Legal Process and Other Disclosures


We may disclose your personal information if compelled by law, subpoena/summons, or other legal process, or if necessary to enforce our End User License Agreement.

It is possible that we may need to disclose personal information, profile information, or information about your activities as a Member or Visitor when required by law, subpoena, or other legal process, or if DoxBay has a good faith belief that disclosure is reasonably necessary to (1) investigate, prevent, or take action regarding suspected or actual illegal activities or to assist government enforcement agencies; (2) enforce the End User License Agreement, investigate and defend ourselves against any third-party claims or allegations, or protect the security or integrity of our Service; or (3) exercise or protect the rights, property, or safety of DoxBay , our Members, personnel, or others. We attempt to notify Members about legal demands for their data when appropriate in our judgment, unless prohibited by law or court order or when the request is an emergency. In light of our principles, we may dispute such demands when we believe, in our discretion, that the requests are excessive, vague or lack proper authority, but do not commit to challenge every demand.


3.14 Disclosures to Others as the Result of a Change in Control or Sale of DoxBay Corporation


If there is a change in control or sale of all or part of DoxBay, we may share your information with a third party, who will have the right to use that information in line with this Privacy Policy. We may also disclose your personal information to a third party as part of a sale of the assets of DoxBay Corporation, a subsidiary, or division, or as the result of a change in control of the company or one of its affiliates, or in preparation for any of these events. Any third party to which DoxBay transfers or sells DoxBay’s assets will have the right to continue to use the personal and other information that you provide to us in the manner set out in this Privacy Policy.


3.15 Service Providers


We may employ third parties to help us with the Services. We may employ third party companies and individuals to facilitate our Services (e.g. maintenance, analysis, audit, marketing and development). These third parties have limited access to your information only to perform these tasks on our behalf and are obligated to DoxBay not to disclose or use it for other purposes.


4. Your Choices & Obligations



4.1 Rights to Access, Correct, or Delete Your Information, and Closing Your Account


You have a right to (1) access, modify, update or delete your personal information controlled by DoxBay regarding your profile and (2) close your account. You can also contact us for any account information which is not on your profile or readily accessible to you. In case you delete your account, all your content (profile information, posts, articles, comments that you have posted) shall be deleted permanently (also see 4.2 Data Retention). We generally delete closed account information and will de-personalize any logs or other backup information within 30 days of account closure, except as noted below.


Please note: Information you have shared with others (for example, through mail, network updates, content sharing, or DoxBay Groups) or that others have copied may also remain visible after you have closed your account or deleted the information from your own profile. In addition, you may not be able to access, correct, or eliminate any information about you that other Members copied or exported out of DoxBay, because this information may not be in our control. Your public profile may be displayed in search engine results until the search engine refreshes its cache.



4.2 Data Retention


We keep your information for as long as your account is active or as needed. For example, we may keep certain information even after you close your account if it is necessary to comply with our legal obligations, meet regulatory requirements, resolve disputes, prevent fraud and abuse, or enforce the Terms of Use agreements. We may retain personal information, for a limited period of time, if requested by law enforcement.


4.3 Your Obligations


Please respect the terms of our End User License Agreement, our Policies, and your fellow Members. As a Member, you have certain obligations to other Members as detailed in our Community guidelines . Some of these obligations are imposed by applicable law and regulations and others have become commonplace in communities of like-minded Members such as DoxBay:


  • You must, at all times, abide by the terms and conditions of the current Privacy Policy, End User License Agreement, and other policies of DoxBay as amended and drafted from time to time. This includes respecting all intellectual property rights that may belong to third parties, such as trademarks or copyrights.
  • You must not upload or otherwise disseminate any information that may infringe on the rights of others or which may be deemed to be injurious, violent, offensive, racist, or xenophobic, or which may otherwise violate the purpose and spirit of DoxBay and its community of Members.
  • You must keep your username and password confidential and not share it with others.

Any violation of these guidelines or those detailed in our User Agreement or elsewhere may lead to the restriction, suspension, or termination of your account at the sole discretion of DoxBay.


5. Important Information



5.1 Minimum Age


You have to be over 18 years of age to create an account on DoxBay.


5.2 Changes to this Privacy Policy


We may change this Privacy Policy from time to time and will notify you through the DoxBay platform or through other means such as Email if and when any significant changes are made. Please review the changes carefully. If you agree to the changes, simply continue to use our Services. If you object to any of the changes to our terms and you no longer wish to use DoxBay, you may close your account. Unless stated otherwise, our current Privacy Policy applies to all information that DoxBay has about you and your account. Using DoxBay after a notice of changes has been communicated to you or published on our Services shall constitute acceptance of the changed terms and/or practices.


5.3 Laws for Data Transfer


We don’t share any of your personal information with third parties for direct marketing. However, subject to the other provisions of DoxBay, the information can be transferred as and when required within the scope and ambit of laws applicable.


5.4 Security


While we take privacy and security seriously and have implemented the required safeguards to the best of our abilities, please be careful and select strong passwords.


We have implemented security safeguards designed to protect the personal information that you provide in accordance with industry standards.
